Searching for Documents
This is not your ordinary keyword search. InkWire, as an Advanced Publications Search, is powered by semantic search - it doesn't just match words, it understands what you mean. Type a natural question like "how to reduce unplanned reactor outages" and the system finds relevant documents even if they don't contain those exact words. It understands concepts, context, and intent, so you spend less time guessing the right keywords and more time finding the answers you need.
Behind the scenes, every search combines traditional keyword matching with AI-powered vector similarity. This hybrid approach gives you the best of both worlds: precise results when you know the exact term, and intelligent discovery when you're exploring a topic. It's also typo-tolerant - mistype "maintennace" instead of "maintenance" and the system still knows what you meant.
Type your keywords in the search bar and press Enter or click the search button.
Smart Search vs. Exact Words Only
- Smart Search (default) — automatically includes synonyms, related terms, and semantic understanding. For example, searching "research paper" may also match "study paper" or "investigation document." Searching "ways to prevent equipment failure" can surface documents about "condition-based maintenance" or "online monitoring" — even without those exact words in your query.
- Exact Words Only — matches only the exact words you type, with no synonym expansion or semantic matching. Use this when you know precisely what you're looking for.
The system auto-switches to Exact Words when you use quotation marks around a phrase.
Phrase Search
Wrap your query in double quotes to search for an exact phrase:
"condition-based maintenance"
This finds documents containing that exact phrase, rather than documents containing the individual words separately.
Filters
Click Show Filters to reveal the filter panel. Available filters:

Quick Filters
In the search results, click on any coloured tag (Document Type, Program, Category, etc.) to instantly add it as a filter.
Clearing Filters
- Clear Filters — removes all filters but keeps your search keyword.
- Clear All — resets everything including the keyword.
Filter Position
You can reposition the filter panel to the Top, Left, or Right of your results. This preference is saved in your browser.
Sorting
Two sorting options are available:
- Best Match (default) — ranks results by a combination of keyword relevance and semantic similarity.
- Most Recent — orders results by publishing date, newest first.
View Modes
Switch between three views using the view toggle buttons. Your preference is saved in your browser.
Details View (default)
Card-based layout. Each card shows:
- Publishing date, Document ID, and title
- Coloured tags for Document Type, Program, Categories, Project, and Work Package
- Content preview with highlighted search terms
- Authors and action buttons for Summary and Value/Implications
Table View
Spreadsheet-style layout with columns for Title, Date, Document ID, Document Type, Authors, Categories, and an Extra Info column with Summary and Value/Implications buttons.
Content View
Expandable rows that reveal the full content preview, metadata, and action buttons when clicked.
Content Highlighting
In all views, search results highlight matched terms in the content preview:
- Bold — your original search keywords
- Italic — synonyms and abbreviations that matched
This helps you quickly see why a document was returned and which related terms were found.
Document Preview
Click a document title to open its preview page.

- PDFs are displayed in an embedded viewer.
- Other file types provide a download link.
- A collapsible left sidebar shows document metadata (ID, Authors, Date, Project, Work Package).
Document Access
Some documents may be restricted based on your organization's access level.
- Unrestricted documents — available to all authenticated users.
- Restricted documents — marked with a lock icon. A tooltip explains how to request access.
If you see the lock icon, your organization does not currently have access to that document. Contact your administrator or submit a Request for Release form.
For restricted documents:
- The document title is visible but the preview link is disabled.
- The Value/Implications field is hidden.
- Download is not available.
