Report Builder
Overview — Custom Reports
The Report Builder produces custom Excel reports from one activity's survey or interview data. Where the fixed reports answer set questions, this lets you choose the fields, filter the records, group and sort them, and export the result.
Open Report Builder from the sidebar. It is Utility Admin only — a COG Admin without the Utility Admin role cannot see the entry.
It is a five-step wizard:
1. Data Source — which activity, and survey or interview data.
2. Select Fields — which columns to include.
3. Filters — narrow the records.
4. Grouping & Options — how to organize the output and what extras to include.
5. Preview & Export — check the result and download it.

PRO TIP You can move back and forth between steps freely with Back and Continue. Nothing is committed until you export, so experiment with filters and check the preview as often as you like. |
Starting From a Template
Before step 1, a Load Pre-built Template picker offers five ready-made configurations. Choosing one fills in the fields, ratings, grouping, and sorting for you — you then pick the activity and adjust anything you want.

PRO TIP Start from a template even when you intend to change most of it. Each one is a working configuration, so you begin with something that exports cleanly rather than an empty form. The picker is clearable if you want to start fresh. |

GOOD TO KNOW A template sets the configuration once, at the moment you pick it. Changing things afterwards does not "break" the template — the report is simply yours from that point on. |

HEADS UP The Report Builder covers one activity at a time. For comparisons across activities, use the Trending Report or the CPRO Report instead. |

GOOD TO KNOW Survey and interview data are separate sources with different fields available. Interviewer Name and Interview Name only mean something for interview data; a survey export will leave them empty. |
Step 2 — Select Fields
Tick the columns you want. Select All and Deselect All set them in one click.

PRO TIP Include the field you intend to Group By in step 4. Grouping by Department without the Department column produces group headings whose basis is not visible in the data. |

HEADS UP The demographic fields — Department, Employment Level, Site — are only populated where the survey asked the matching specific demographic question. A survey using plain Demographic questions leaves these columns blank. See Question Composer. |

PRO TIP Resist Select All for a report someone else will read. Thirteen columns of Excel is hard going; four or five chosen deliberately makes the point. |
Step 3 — Filters
All filters are optional. Reset Filters clears them.

PRO TIP Filtering Rating to Negative is the single most useful filter here. It turns a full data dump into the list of things that need attention — which is what both the Negative Findings and Evidence for Recommendations templates do. |

GOOD TO KNOW The ISF filters cascade, so pick Principle before Trait and Trait before Attribute. A narrower picker with nothing in it usually means the level above has not been chosen yet. |
|
HEADS UP Filters combine — a record must satisfy all of them to appear. Stacking a date range, an Attribute, a rating, and a department is an easy way to filter down to nothing. If the preview is empty, remove filters one at a time to find the one responsible. |
Step 4 — Grouping & Options
Group By
One of: ISF Trait, Department, Rating, Theme, Date, or Don't Group.
Sort By
One of: Date (Newest First), Date (Oldest First), Rating (Negative First), ISF Classification, or Alphabetically.

PRO TIP Rating (Negative First) puts the difficult findings at the top of every group. Combined with grouping by ISF Trait, you get a report that opens each section with its worst results — usually the right emphasis for an assessment report. |

PRO TIP Turn Raw Response Text on for a report that will be read as evidence — a truncated quote is not much use to someone writing a recommendation. Leave it off for a summary where the counts matter more than the wording. |
Step 5 — Preview & Export
The preview shows exactly what will be exported: the summary tiles if enabled, then a paged, grouped data table with ratings as coloured chips. Page size can be set to 10, 25, 50, or all.
Click Download Excel to export.

HEADS UP Download Excel is disabled when the preview is empty. If nothing matches you will see "No records match the selected filters. Adjust your filters and try again." — go back to step 3 and loosen them. |

PRO TIP Read the summary tiles before exporting. A total that looks far too low for the activity usually means a filter is narrower than you intended — much easier to catch here than in the workbook. |

GOOD TO KNOW Excel is the only export format. There is no PDF or CSV option. |
